Speaker Terms and Conditions - B2B Growth Expo

Speaker Agreement:

  1. By accepting the invitation to speak at the exhibition, speakers agree to comply with these terms and conditions.
  2. Speakers must confirm their availability and commitment to fulfill their speaking engagement as scheduled.

Promotion of Speaker Session and Attendees Engagement:

  1. Joint Collaboration: The Speaker agrees that the event is a joint collaboration for promoting the speaker session, and both parties will fulfill their responsibilities to attract an audience for the session.
  2. Organiser's Responsibilities: The Organiser will create a promotional event for the speaker session and will invite their contacts to participate and pre-register for the session.
  3. Speaker's Responsibilities: The Speaker has equal or greater responsibility to reach out to their known contacts and promote the session through their own promotional channels, such as their website, social media, or other promotional methods. The Speaker will engage, entice, and inspire their contacts to attend the session and enjoy the benefits of the event.
  4. Free Tickets: The Organiser will issue 30 free tickets to each Speaker, which they can distribute to their contacts to pre-register and attend the session at the event.
  5. No Liability for Attendance: No party shall be held responsible for any shortage of session attendees or the lack of the expected number of attendees at the event after the session.
  6. Mutual Respect: Both parties agree not to disparage or badmouth each other before, during, or after the event if the session does not meet expectations.
  7. Responsibility Fulfilment: Each party is expected to fulfil their responsibilities to the highest potential to support the session and the event.

Presentation Content:

  1. Speakers are responsible for creating and delivering their presentation content.
  2. Presentation content should be relevant to the exhibition's theme and aligned with the agreed-upon topic or subject.

Intellectual Property:

  1. Speakers warrant that they have the necessary rights, permissions, and licenses to present and share any intellectual property, including copyrighted materials, during their presentation.
  2. Speakers retain the rights to their own intellectual property, but grant the exhibition organizers a non-exclusive license to use, reproduce, and distribute the presentation materials for promotional purposes related to the exhibition.

Presentation Materials:

  1. Speakers are responsible for providing their presentation materials to the exhibition organizers within the agreed-upon timeframe.
  2. Presentation materials should be in the specified format and adhere to any guidelines or technical requirements provided by the organizers.

Professional Conduct:

  1. Speakers are expected to conduct themselves in a professional and respectful manner throughout the exhibition.
  2. Any discriminatory, offensive, or disruptive behavior will not be tolerated and may result in the termination of the speaking engagement.

Compensation and Expenses:

  1. The compensation, if any, for speakers will be agreed upon in advance and specified in a separate agreement or contract.
  2. Any pre-approved expenses incurred by speakers in relation to their participation, such as travel or accommodation expenses, may be reimbursed as per the agreed-upon terms.

Promotion and Publicity Pre and Post Event:

  1. Speakers may be promoted on the exhibition's website, social media platforms, and other marketing channels.
  2. Speakers are encouraged to actively promote their participation in the exhibition through their own networks and channels.
  3. By attending the exhibition, speakers consent to the collection, use, and storage of their personal information for registration and event-related purposes.
  4. We the Organiser may share your Personal Information with exhibitors, partners, suppliers, franchisees and other third-party providers who are performing services for the Company.
  5. Speakers may be photographed or recorded during the exhibition, and their likeness may be used for promotional or marketing materials. However, We reserve the right to conduct all photography and video recording within reason and as we deem necessary for promotion and marketing purposes. 
  6. The Speaker consents to the use of photographs and video recordings taken during the event by the Organizer for promotional purposes. The Organizer may use these photos and videos on their website, social media, and any other promotional channels. By accepting to speak at the event you as a speaker agree that the Organizer may use these materials indefinitely to promote current and future events and has no objections to the use of these materials as described above.

Cancellation Clause:

  1. Notification: Speakers who need to cancel their speaking engagement at the exhibition must notify the exhibition organisers in writing as soon as possible.
  2. Cancellation Notice: The cancellation notice should include the reasons for cancellation and any relevant supporting documentation.
  3. Substitute Speaker:
    • More than 90 days before the exhibition: A substitute speaker may be arranged, subject to the approval of the exhibition organisers.
    • Between 30 and 90 days before the exhibition: The speaking slot may be rescheduled or filled by a substitute speaker, subject to the approval of the exhibition organisers.
    • Less than 30 days before the exhibition: No changes or substitutions will be allowed. If a speaker decides to cancel their participation in the exhibition, the organizers will charge a cancellation fee of £1000. This fee is applicable to cover the costs and inconveniences associated with the cancellation. The speaker will be responsible for paying the cancellation fee promptly upon receiving the invoice from the exhibition organisers.

Non-Disclosure:

  1. Speakers may have access to confidential information or trade secrets of the exhibition organizers or other participants.
  2. Speakers agree to keep such information confidential and not disclose it to any third parties without prior written consent.

Termination:

  1. The exhibition organizers reserve the right to terminate a speaker's engagement due to non-compliance with these terms and conditions or any other valid reasons.

Amendments:

  1. The exhibition organizers reserve the right to amend these terms and conditions at any time, and any such amendments will be communicated to visitors through appropriate channels.
